Landlord database deadlines by region

Every private landlord in England must register themselves and each rental property on the new national database. Each region gets a three-month window, and all properties must be registered by 14 November 2027.

Dates come from the draft Private Rented Sector Database Regulations 2026, laid before Parliament on 9 September 2026. They still need approval by both Houses and may change. Government guidance gives £65 per property per year, pro-rated during rollout. The draft regulations leave the fee to the database operator.

What you’ll need

  • Your details as the landlord (individual or company), including contact address.
  • The property address, type, number of bedrooms, furnished status, rent and rent frequency, and whether bills are included.
  • How many people and households live there, and any HMO or other licence number.
  • A copy of the current gas safety record and the date it was issued (if the property has gas).
  • A copy of the current EICR and its expiry date (or the Electrical Installation Certificate and its issue date).
  • A copy of the most recent EPC, plus any registered minimum energy efficiency exemption.
  • Card payment for the registration fee.

After you register

Update the entry within 28 days whenever something changes (for example a new gas safety record or a new tenancy), and renew it every 12 months.

If you don’t

Civil penalty of up to £7,000 for letting or marketing without an active entry. Up to £40,000 for continuing or repeat breaches or false information once those offences commence. A court also cannot make most possession orders while a landlord is in breach.

The database asks for your current gas safety record, EICR and EPC. Check they’re in date before your window opens.
