Privacy notice

This notice explains what personal data Letwarden collects, why, and your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).

Who we are

Letwarden is operated by Eshmere Ltd, trading as Letwarden (company number 17239365) , Registered office: Apartment 120, 10 Hall Street, Birmingham, B18 6BX, the data controller. Contact us at support@letwarden.co.uk.

What we collect

  • Compliance checks (on this site or through ChatGPT): a postcode, certificate dates and yes/no answers about the property. We use them to produce your result and do not store them.
  • Deadline reminders in ChatGPT: the certificate type, due date, an optional short property label and region you ask us to watch, the delivery address ChatGPT gives us, and an anonymous identifier ChatGPT provides. We never receive your name or conversation.
  • Quote requests: your name, email, optional phone number, the property postcode, type and bedrooms, preferred timing and any access notes.
  • Autopilot customers: your name and email, the property labels, postcodes and certificate dates you give us. Payments are handled by Stripe; we never see your card details.
  • Waiting list: your email and number of properties.
  • Technical data: our host, Vercel, processes IP addresses and request logs to run and protect the service. We don’t use advertising or analytics cookies.

Why we use it, and our lawful basis

  • To provide checks, reminders and quotes you ask for: performing a contract, or taking steps at your request before one.
  • To share your quote request with an engineer: with your agreement, given when you request the quote.
  • To keep the service secure and working: our legitimate interests.
  • To keep financial records: legal obligation.

We don’t sell your data or use it for advertising.

Who we share it with

  • The vetted engineer who quotes for your job.
  • Service providers who process data for us: Vercel (hosting and storage), Stripe (payments), Microsoft 365 via GoDaddy (email), Resend (automated email, if used) and postcodes.io (we send only the postcode, to find your region).
  • When you use Letwarden in ChatGPT, OpenAI’s privacy policy covers your conversation.

Some providers process data outside the UK. Where they do, transfers are protected by UK adequacy regulations or the International Data Transfer Agreement or Addendum.

How long we keep it

  • Quote requests: 24 months.
  • ChatGPT reminder subscriptions: until you stop them or they expire (up to 90 days after ChatGPT last renews them).
  • Autopilot records: while you’re a customer, then 6 years for accounting records.
  • Waiting list: until you ask us to remove you, or 24 months.

Your rights

You can ask to access, correct or delete your data, to restrict or object to how we use it, and to receive a copy in a portable format. Email us and we’ll respond within one month. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Children

Letwarden is for landlords and is not intended for anyone under 18.
